2018 Minnesota Data Standards Changes

Minnesota HMIS Data Standards Changes for 2018 will take effect on Sunday, July 1st. Unlike the HUD HMIS Data Standards Changes that happen in October, there will be no system downtime due to these changes. To prepare users for these upcoming changes, we want to provide a brief overview of the changes, the impact it will have on HMIS and users, and information on training and support.  

WHAT’S CHANGING? 

 

MINNESOTA UNIVERSAL DATA ELEMENTS 

Changes to Universal Data Elements will have an impact on all clients, regardless of funding type. New Element/Wording Change: 

  • If Native American, of which tribe are you an enrolled member?

Impact on Users:

  • This replaces "If yes, with which Tribe are you affiliated?"

  • Clients who are currently enrolled in any HMIS project on 7/1/2018 should have their record updated on the Client Profile page

  • Moving forward, all clients will have this information collected at Record Creation

 

COMMON STATE PROGRAM-SPECIFIC DATA ELEMENTS 

These changes impact most state funded projects such as MN Housing LTH, etc. Retired: 

  • Disability Sub-Assessment Types

    • “Traumatic Brain Injury,” “Hearing Impaired,” “Vision Impaired,” and “Other”

  • Income Sub-assessment Types

    • “Contributions From Other People,” “Interest, Dividends, & Annuities,” “MSA/Minnesota Supplemental Aid,” “Student grant/scholarship,” and “Tribal Funds”

  • Non-Cash Benefits Sub-assessment Types

    • “GAMC – General Assistance Medical Care/CCDS”

Impact on Users:

  • Nothing will change for you. These response categories will no longer be required after 7/1/2018

  • Changes only affect clients still enrolled in your project as of July 1, 2018 and new clients going foward

 

STATE PROGRAM-SPECIFIC DATA ELEMENTS  

These changes only impact the specific programs listed below. DHS OEO THP New Elements:  

  • Was the household asked to leave the program?

  • If yes, what was the reason the household was asked to leave the program?

Retired: 

  • Reason for Leaving

  • Most Appropriate/Ideal Long-Term Living Situation

 DHS OEO HYA – Youth Supportive Housing  New Elements: 

  • Was the household asked to leave the program?

  • If yes, what was the reason the household was asked to leave the program?

  • If the client’s Exit Destination was “Staying or living with friends, permanent tenure” or “Staying or living with friends, temporary tenure (e.g., room, apartment or house),” further specify the destination/type of friend.

  • If the client’s Exit Destination was “Staying or living with family, permanent tenure” or “Staying or living with family, temporary tenure (e.g., room, apartment or house),” indicate which family member.

Retired: 

  • Referral Source

  • Reason for Leaving

  • Most Appropriate/Ideal Long-Term Living Situation

 DHS HTHP  New Element: 

  • Pregnant or parenting?

  • If youth is pregnant or parenting, has the youth been offered or referred to support services?

 Impact on Users

  • Changes only affect clients still enrolled in your project as of July 1, 2018 and new clients going forward

  • Retired Data Elements

    • Nothing will change for you. This data element is no longer required to be collected after 7/1/2018

  • New Elements

    • Will be visible on assessments 7/1/2018 and beyond and will be required to be filled out accordingly
