Quarterly Data Quality Timeline Changes

The Quarterly Data Quality (QDQ) cycle is adjusting after the FY 2024 HMIS Data Standards changes so that we can make necessary updates to the 251 Quarterly Data Quality report. Please read on to learn about what has and hasn't changed this quarter.

As a result of the FY 2024 HMIS Data Standards changes that went into effect on October 1, the 251 Quarterly Data Quality report needs updating. It is currently out of order, but it is being updated now.

How does this affect HMIS users who participate in QDQ? Until the report is updated, it will return incorrect data. Please do not try to make data corrections based on the report until it is ready for use. Waiting until the new version of the report is released will save you time and unnecessary worry!

When will the report be ready? We expect to release a new version of the 251 QDQ report by October 23. There are two ways to know the QDQ report has been updated.

  1. Check REPORTcollection - that's the best place to find real-time updates on a report's status. In the Estimated Fix field, reports marked "Completed" have been updated and can be run; all other reports should be considered out of order.

  2. The QDQ submission portal will be open. You can click here for a link to the submission portal

What are the important QDQ dates to remember? The Submission Portal will be open once the report is ready, which we expect to happen October 23. The Deadline for submissions will be 11:59pm on November 13.

Do HMIS users need to do anything different as a result of the changes? Until the report is updated, all you need to do is be patient! Once the report is updated, the process of data clean up will remain the same. In short:

  • Start with the Fix These First! Tab on the report and move to the other tabs as time allows.

  • When the report is updated, you can run it multiple times to see your progress.

  • The Helpdesk staff are still available for assistance.

  • Submit scores before the Portal closes on November 13.

  • Add a narrative to your submission to help explain any details from the past quarter.

Ultimately, the goal for QDQ is to produce better data that can help individuals and families experiencing homelessness. The QDQ timeline is compressed for everyone in Minnesota this quarter. The CoCs know it. The state funders know it. ICA knows it. If the submission deadline passes and you still have data to fix, you can still do that. It won’t be reflected in the QDQ scores for Quarter 3 of 2023, but it might help provide details for someone’s story, so they don’t have to tell it again, and again.

You have elevated Minnesota’s HMIS data over the past few years by participating in QDQ. Your work on high quality data is always appreciated.
