Changes to DHS-OEO THP and HYA Data Entry Requirements : Follow ups and reports and interims (oh my!)

ICA has been working in partnership with Office of Economic Opportunity (OEO) to evaluate the need for HYA and THP funded projects to continue recording client follow ups and interim updates (a specific requirement for THP) in HMIS. These workflows were put in place many years ago when our HMIS system did not have statewide data sharing and had limited reporting capabilities. As our system has become more sophisticated, ICA has the ability to provide statewide data on client returns to our partners at OEO that fulfill the requirements.

Therefore, as of January 1st, 2022, follow up data entry is no longer required for OEO HYA and OEO THP funded projects. This includes the creation of new follow ups and the updating of existing follow ups within HMIS. Also, HYA and THP funded agencies will no longer be required to run and submit the SHP-32-DQR-289 - HYA and THP Follow-up Summary Detail report.

Note: Hennepin County YHHS funding utilizes the HYA workflow, assessments, and will also no longer require follow ups to be documented in HMIS.

And, as of January 13th, 2022, interim updates are no longer required for THP programs. Programs are welcome to continue to enter interims if desired, and the DHS OEO THP User Guide has been updated to show that interims are now OPTIONAL.

A big thank you to the team at OEO and HMIS users for your feedback. If you have questions regarding HMIS data entry requirements for OEO HYA and/or THP funded programs, please refer to the HMIS User Guides for these programs on the Forms and Instructions page of the website, or click the links below.
