HMIS License and Billing Updates

This article provides an update to ICA's License and Billing procedural changes as they relate to the transition from WellSky's Community Services to Eccovia's ClientTrack. Click below to read more.

You may wonder what additional changes may come along with our transition to ClientTrack. Last year, we worked with the HMIS Governing Board to review and improve our license and billing policies and procedures with transition costs in mind. With the HMIS blackout behind us, ICA’s normal activities are back in full swing. This means that we are adding new agencies, new projects, accepting new user registrations, and ultimately, billing for new licenses and license renewals. 

Here are some license and billing-related policies that took effect last year that you need to know:

  • There is one license-type for all users, available at a single cost;

  • The cost of a single HMIS license is to remain at $225 for 2025;

  • While we discontinued refunds for licenses that are no longer needed by an agency (license transfers remain a practice), prorated licenses remain in effect;

  • Agencies continue to be billed annually;

  • In addition receiving payment by check and bank transfers (ACH payments), payments can now be made by credit card.

Note that the HMIS Governing Board reviews our budget on an ongoing basis and sets the cost of HMIS licenses each year.
