Re-certification Training Due Today and FY 2022 HMIS Data Standards Are Now In Effect! 

Re-certification Training Due Today

A friendly reminder of key dates for the Recertification Training:

  • Today: The due date for all HMIS users to complete their 2021 Re-certification Training to be ready for the changes that go into effect today, which includes a change to the data you collect and enter into Minnesota’s HMIS.

  • Friday, October 15: Your HMIS license will be inactivated if you have not completed these Re-certification training requirements by the end-of-day on Friday, October 15, until such time as training is completed.

IMPORTANT NOTE: You ONLY need to complete the program named: “2021 Re-certification Training” in Moodle. You do not need to complete any other User Training programs or courses you may see on your Moodle Dashboard. Any other training programs you see are regular HMIS user training content that is now simply there for you to access anytime you'd like, whenever you need to refresh your HMIS skills!

A note for supervisors of HMIS data entry users: Over the next couple of weeks leading up to October 15, ICA reminders of this training requirement will be more targeted to HMIS users who have not completed the requirement. If you are a supervisor of HMIS users who depends on these newsletter reminders, consider adding a reminder to your own to-do list to check in with your staff on their progress.

FY 2022 HMIS Data Standards

October 1, 2021 is here! That means the Fiscal Year (FY) 2022 Minnesota and HUD HMIS Data Standards have gone into effect! Throughout the day, you’ll see the retired MN universal and program specific data elements disappear from assessments, and programs with new data elements will become available on assessments. You’ll also see that assessment names are being changed for consistency and clarity.

Data collection forms and HMIS user guides are being uploaded to the website today and can be found on the Forms and Instructions page. All data collections forms will reflect the FY 2022 HMIS Data Standards. You can tell if the program’s forms and user guide has been updated if it says “Last Updated October 1, 2021” in the program’s section. 

As a reminder, the federal data elements that were going to be changed or added to the system by our software vendor will not be added to HMIS until 10/8/2021 at the latest. ICA will send out a news alert as soon as we have an updated timeline for the upgrade that will apply the federal FY 2022 HMIS Data Standards to our site. FY 2022 Gender Response Options

The FY 2022 HMIS Data Standards for the Gender data element includes modified response options and revised data collection guidance so that clients may select as many responses as they would like to, with up to a total of five options possible. Because this option will not be available in MN's HMIS until we take the vendor upgrade, a temporary text box option has been added to the Universal profile. Instructions for using this temporary option can be found on this page.

ART Reports

Until ICA takes the FY 2022 upgrade from our software vendor, you will be able to run ART reports without inflated ‘Missing’ counts and values, but note that the reports are still using FY 2020 HMIS Data Standards. If you run reports regularly or have a report due date falling within the first 2 weeks of October, we would recommend pulling them before the end of the day on October 4. When the FY 2022 upgrade is applied to our site, ICA will utilize the REPORTcollection, as we have done in past data standards updates, to indicate what is outdated, what needs updating, when we anticipate updating each one based on a triage, and when that update is complete. For more information about reports, please visit this page.
