2025 HMIS Policies Changes You Should Know
Every year, the Policies & Prioritization Committee (a sub-committee of the HMIS Governing Board) reviews and updates the HMIS Policies. This year, the group reviewed the document over the winter months HMIS Governing Board ultimately approved the updates at their March 2025 meeting.
Every year, the Policies & Prioritization Committee (a sub-committee of the HMIS Governing Board) reviews and updates the HMIS Policies. This year, the group reviewed the document in over the winter months HMIS Governing Board ultimately approved the updates at their March 2025 meeting.
Here are the changes recently approved:
Update responsibilities of Designated Agency HMIS Contact - This further defines and expands the role of the designated agency contact to better align with what is needed to maintain an accurate HMIS. It ensures that the HMIS lead will have a consistent and reliable contact person at every agency.
Supervisor access to end user system use data - This helps to clarify that supervisors/leadership at participating agencies can access, upon request, meta data about HMIS system access by their employees. This is a request that ICA occasionally fields and it's valuable to have shared understanding in the policies so we know we can act confidently.
Participating agency use of aggregated (statewide or regional) data - ICA periodically gets requests from participating agencies for regional or statewide data for aiding in things like grant applications, publications, etc. It is helpful to have some policies clarity around how/if to fulfill these requests.
Annual written plan - The language around an "annual written plan" is too formal and has never aligned with the cadence and existing infrastructure for ensuring the HMIS lead agency and partners have shared expectations around what should be happening and who should be doing it. The HMIS Policies do not need to be this prescriptive. This change ensures the policies articulate an expectation around jointly crafted priorities/goals on an agreed upon timeline, while providing room for the process and actual structure of this deliverable to evolve.
