FY 2024 HMIS Data Standards Changes

Every two years, the US Dept. of Housing & Urban Development (HUD) goes through a process to (1) make changes to current data elements collected in HMIS (collectively referred to as the “Data Standards”) and (2) add brand new data elements to HMIS as well.

The State of Minnesota has aligned with the HUD Data Standards changes, choosing to roll out its data standards changes at the same time this year to reduce the burden on HMIS users.

The FY24 HUD & MN Data Standards changes are live in Minnesota’s HMIS as of Sunday, October 1st, 2023!

Reporting

Business Objects Reports

The coding of every HMIS report will need to be edited to account for Data Standards updates. Until edited, most reports will be unable to complete correctly, and any data they return may not be accurate. Once the changes take effect on October 1, users should consider all custom reports to be out-of-order until they are updated by ICA.  

Because reports cannot be edited in advance of the changes being applied to HMIS, ICA will begin updating reports as soon as possible after the Data Standards changes go live. Users should bookmark the REPORTcollection and check that page regularly for information about which reports can be used and which ones cannot.   

Until a report is updated: Once the changes take effect, most reports will still run successfully, but their results will be inaccurate in some places. Here are some examples:  

  • You may see "#ERROR", "#CONTEXT", or "#MULTIVALUE" error messages. 

  • Counts of participants by Race, Ethnicity, and Gender will be incorrect for some groups.  

  • Values for Client Location may not pull into the report correctly.  

  • Where logic or report elements apply in specific ways to Emergency Shelter projects, those logic and report elements will not work correctly.  

  • Counts of responses coded as "DK/R" may be incorrect.  

After a report is updated: You will see some important differences! Here are some examples:

  • New options for Race (including "Hispanic/Latina/e/o") and the open-ended response options for Race and Gender 

  • "DK/R", an acronym used in reports to show where the value of "Client doesn't know" or "Client refused" was selected, will now display as "DK/X", to represent the new response option "Client prefers not to answer". 

  • Other updates will not be visible, but will be working in the background to ensure information is displaying accurately.


Provider ("Canned" In-HMIS) Reports

ICA will update this section and our ReportCollection as information about these reports becomes available from the HMIS software vendor. Check back here for the latest details!

CoC APR
As of January 4, 2024, the ⁠CoC-APR is updated in HMIS, aligning with the FY24 HMIS Data Standards.

Coordinated Entry APR (CE APR)
As of March 7, 2024, WellSky has resolved the household members calculation issue impacting the CE APR in HMIS, making the report is available for use by grantees. Any CE APRs submitted between February 17 and March 6 in Sage do not have accurate data and should be re-run and replaced in Sage.

Data Quality Framework
As of December 27, 2023, the Data Quality Framework is updated in HMIS, aligning with the FY24 HMIS Data Standards.

ESG CAPER
As of January 4, 2024, the ESG-CAPER is updated in HMIS, aligning with the FY24 HMIS Data Standards.

Hashed HMIS CSV
As of October 17, the Hashed HMIS CSV export is updated in HMIS, aligning with the FY24 HMIS Data Standards. This export is required for RHY and YHDP grantees.

PATH
As of March 7, 2024, the PATH report is updated in HMIS, aligning with the FY24 HMIS Data Standards.

SSVF Export
As of October 17, the SSVF Export is updated in HMIS, aligning with the FY24 HMIS Data Standards.
